Privacy Policy

This policy explains how Mealworks Events Sdn. Bhd. ("Mealworks", "we", "us") handles personal data collected through mealworks.pro and in the course of planning and delivering events. We process personal data in accordance with the Personal Data Protection Act 2010 (Malaysia) ("PDPA").

Data we collect

We collect only what a working relationship requires:

• Enquiry details — your name, email address, phone number and the content of your brief when you submit our contact form, email us or call.
• Event participation data — where we manage registration or guest lists on a client's behalf: attendee names, contact details, dietary requirements and accessibility needs supplied for that event.
• Technical data — basic server logs (IP address, browser type, pages requested) generated automatically when you visit this site.

How we use it

• To respond to enquiries and prepare proposals you have requested.
• To plan, deliver and account for events under contract.
• To meet legal, tax and audit obligations that apply to a Malaysian company.
• To keep this website secure and functioning.

We do not sell personal data, and we do not send marketing to event attendees whose details were entrusted to us by a client.

Guest data processed for clients

When we handle attendee lists for a client's event, we act on that client's instructions. We use such data solely to run the event concerned, restrict access to the crew who need it, and delete or return it within 90 days of the event's completion unless the client instructs otherwise or law requires retention.

Sharing

We share personal data only with suppliers engaged for your event (for example, a venue's security desk requiring a guest list), with professional advisers under confidentiality, or where disclosure is required by Malaysian law. Suppliers receive the minimum necessary and are bound to use it only for the event.

Retention

Enquiry records are retained for up to 24 months so we can pick up returning conversations. Contract and financial records are kept for 7 years as required by law. Server logs rotate within 90 days.

Security

Data is stored on access-controlled systems, form submissions travel over HTTPS, and physical documents containing guest information are shredded after the event's reconciliation is closed.

Your rights

Under the PDPA you may request access to your personal data, ask us to correct it, or withdraw consent to further processing. Write to [email protected] or to our registered address and we will respond within 21 days. Withdrawing consent may limit our ability to work on your event.
